Create Google Calendar Appointment Schedule

You can use appointment schedules (as opposed to appointment slots) to create one booking page so that anyone can schedule time with you easily. People viewing your booking page only see your free availability that updates when other commitments are added to your calendar. This can be a helpful tool to create office hours or advising appointments.

You can customize the booking form to gather extra information from people at the time of booking.

Appointment schedules can only be made in your own calendar (e.g. coopergl). They cannot be done with other calendars listed under My/Other calendars.

Allow for your Calendar to appointment schedules

  1. Open your Google Calendar by navigating to calendar.google.com
  2. Click on Settings menu (gear icon).
  3. Click Settings.
  1. Click on Appointment schedules.
  1. Check the box next to Create appointment schedules instead of appointment slots.
  1. Exit out of settings.

Create an appointment schedule

  1. Click the Create button.
  1. Click on Appointment schedule.
  1. Enter appointment details (title, duration, availability, etc.).
  2. Click the Next button.
  1. Enter additional details (location, description, booking form, and reminders)
  2. Click the Save button.

Calendar/Appointment schedule tips:

  • To make sure no one books over a lunch break, create an “event” to block your lunch hour on your calendar or add your unavailable times.
  • If you're flexible on location, you can create a booking form. Be sure to select Custom Item. Make it Required. And then include that attendee can select their preference of in-person or virtual location.

Share your bookable appointment schedule

  1. Click on the Share button.

You can copy and paste the link into your email signature or you can embed the link elsewhere.
